Hello! At Cyberdigm, we visit our customers every month to see if they are using the document centralization solution well, and if they have any requests. We directly interview them to gather their opinions on our products to provide even more satisfying services.
This month, the cloudium customer we visited is SGC Solution. SGC Solution is a glass product manufacturing company established in 1967. Most of you might be familiar with Glasslock! As a leading company in the kitchenware market, Glasslock’s airtight containers have been ranked number one in market share.
Before introducing cloudium, SGC Solution used DRM for document security, but for convenience, they shared export passwords. To achieve tighter document security, they chose the document centralization solution, cloudium.
Since 2019, SGC Solution has applied perfect document security with cloudium to create a safe work environment.
Let’s look at the amazing story of how SGC Solution protected key documents from leakage with cloudium through an interview with Team Leader Kim Young-chan from SGC Solution!
✔ SGC Solution's Concerns
- Secure approval management for documents shared externally.
- Control the storage of documents in external storage devices like USBs or external hard drives.
- Assetization of all documents produced by the company.
✔ Achievements with cloudium
- Made it easy to share large files with URL sharing, resolving the cumbersome work environment caused by email capacity limits.
- Easily checked document usage status with statistical screens.
- Built a convenient and secure collaboration environment with shared folders.
SGC Solution's cloudium Implementation Story
1. What made you feel the need to implement cloudium?
Before implementing cloudium, we managed document leakage with a DRM solution. However, we gradually opened up permissions for convenience, which resulted in the export passwords not being managed, rendering the security function useless. Additionally, there were instances where departing employees deleted their PC data before leaving. We were looking for a secure way to transfer documents managed by departing employees and discovered the various features of document centralization solutions. We decided to consider implementing it to manage company documents securely.
2. Why did you choose cloudium?
I first learned about cloudium through an introduction from someone I trust. Document centralization was becoming a trend, and it seemed like a good solution to our company's concerns. I received a recommendation and introduction to cloudium, which led to its implementation. Knowing it had already been verified gave us confidence. While other companies proposed document centralization solutions, we chose to implement cloudium independently to directly manage our documents. We didn’t compare features with other companies but chose Cyberdigm's document centralization product based on its diverse references and the trust and reliability shown by the sales representative, believing we would receive good technical support post-implementation.
SGC Solution's Unique Use of cloudium
1. Can you tell us about SGC Solution's usage of cloudium?
When using DRM, we initially managed permissions by allowing self-approval policies, using it mainly for document assetization without causing inconvenience to work. We monitored document usage and detected a large volume of export and file transfer attempts by a departing employee who was trying to leak documents via USB. After preventing this leakage incident, we restricted the file export function for all documents. This happened about four months after the implementation. Currently, we use a policy that prohibits local storage, except for the design and factory development teams, where local storage is allowed due to large file sizes and usability constraints. For these teams, local storage is allowed for quick and convenient use during work.
2. What changes have you noticed in your work after implementing cloudium?
We now use groupware services with our affiliates, where email capacity is limited to 5GB. Before implementing cloudium, managing and working with emails containing large attachments was inconvenient due to the capacity limit. Now, we can simply share a URL link to the server-stored document, eliminating the email capacity issue.
Additionally, managing company documents and preventing document deletion or leakage by departing employees has become more convenient. Sharing files via URLs has significantly improved work efficiency. Placing documents in shared folders allows for seamless collaboration. These two major changes stand out among many improvements.
3. What are the advantages of cloudium?
1) Document Monitoring and Leak Prevention
With document centralization, local storage on user PCs is prohibited, and document exports are managed through an export approval process. cloudium allows monitoring of document usage to prevent leaks or losses, giving executives and representatives confidence in document management.
2) Lightweight File Sharing with Document URL Sharing
Sharing work documents via email was routine, but placing them in shared folders with proper permissions made document verification easy. Given the manufacturing industry's nature, sharing large drawings and image files has become convenient, aiding collaboration between factories and headquarters.
3) User-Friendly, Intuitive Solution
Initially, there were minor issues adapting to document centralization at the factories in Cheonan and Nonsan. However, adaptation has been smooth, and there have been no complaints about difficulty using the system.
